Privacy Policy

Last updated: October 20, 2026

1. Introduction

WindowEdge ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered business automation platform and related services.

This policy covers three groups. The first is our customers: the home improvement businesses that license the WindowEdge platform, and their staff, including staff who use the WindowEdge mobile app. The second is website visitors, including homeowners who chat with the WindowEdge web chat widget on this site or on a customer's site. The third is homeowners whose details a customer's staff record, for example at the door or during an in-home visit. Section 12 explains the web chat widget. Section 13 explains the WindowEdge mobile apps for iPhone, iPad and Android: what they collect, when, and who can see it.

2. Information We Collect

2.1 Personal Information

We may collect personal information that you provide directly to us, including:

  • Name and contact information (email address, phone number, mailing address)
  • Business information (company name, role, industry details)
  • Account credentials (username and password)
  • Payment information (processed securely through third-party payment processors)
  • Communications you send to us

2.2 Business Data

When you use our platform, we process business data including:

  • Homeowner information you input into our CRM system
  • Lead and sales data
  • Quote and estimate information
  • Product catalogs and pricing data
  • Business analytics and performance metrics

2.3 Usage Information

We automatically collect information about your use of our services:

  • Device information (IP address, browser type, operating system)
  • Usage patterns and feature interactions
  • Log data and analytics
  • Cookies and similar technologies on our websites (the mobile app does not use advertising identifiers or cross-app tracking)

2.4 Web Chat Conversations

Our web chat widget runs on this website and on the websites of businesses that license it. When you send a message through the widget, we record:

  • The messages you send and the replies the AI agent sends
  • Contact and project details you choose to provide in the chat, such as your name, phone number, email address, service address, and what you are looking for
  • The page you were on, the page that referred you, and campaign parameters in the web address (for example utm_source or gclid)
  • Your browser user agent and an irreversible hash of your IP address, used for rate limiting and abuse prevention
  • A randomly generated visitor identifier stored in your browser, so a returning conversation can be resumed

A conversation record is created when you send your first message. Opening the widget without sending anything records only the anonymous visitor identifier and session.

3. How We Use Your Information

We use the collected information to:

  • Provide, maintain, and improve our services
  • Process transactions and send related information
  • Send technical notices, updates, and support messages
  • Respond to your comments and questions
  • Generate automated replies in web chat, and screen conversations for abuse and safety

  • Develop new features and services
  • Monitor and analyze trends and usage
  • Detect, prevent, and address technical issues
  • Protect against fraudulent or illegal activity

4. Information Sharing and Disclosure

We do not sell, trade, or rent your personal information. We may share your information:

  • With your consent: When you explicitly agree to sharing
  • Service providers: With trusted third parties who assist in operating our platform, including cloud hosting, communications providers, and the AI model providers that generate web chat and messaging replies and that process voice features in the mobile app (Section 13.4)
  • The business whose website you chatted on: Web chat transcripts, along with any contact and project details you provide, are available to the business operating that website
  • Legal requirements: When required by law or to protect rights and safety

  • Regular security audits and assessments
  • Access controls and authentication measures
  • Employee training on data protection
  • Incident response procedures

However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as necessary to provide our services and fulfill the purposes outlined in this policy. When determining retention periods, we consider:

  • The duration of our relationship with you
  • Legal and regulatory requirements
  • Our legitimate business interests

9. International Data Transfers

Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place to protect your information in accordance with this privacy policy.

10. California Privacy Rights

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to:

  • Know what personal information is collected
  • Know whether personal information is sold or disclosed
  • Say no to the sale of personal information
  • Access personal information
  • Equal service and price, even if you exercise your privacy rights

11. Google User Data and Limited Use

This section covers the optional Google Ads, Google Analytics, Google Calendar and Google Meet connections. Google sign in, Google Maps and Android location services in the mobile apps are described in Section 13. WindowEdge connects to these Google services only when you explicitly authorize it, and only to deliver features you have asked for. The Google APIs we request access to, and what we do with each:

  • Google Ads: read the list of ad accounts you can access so you can choose one, and upload your offline conversions into the account you select.
  • Google Analytics: read property and data stream details to identify the Analytics property matching your Measurement ID. This access is read only.
  • Google Calendar: list your calendars so you can choose one, and create or update appointment events on the calendar you select.
  • Google Meet: create meeting links for the virtual appointments you schedule.

WindowEdge uses artificial intelligence to operate its scheduling, messaging, and quoting features. Google user data is never used to build those models. We do not use, transfer, or sell Google user data, whether raw, aggregated, or derived, to create, train, or improve any foundational or generalized artificial intelligence or machine learning model.

The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

WindowEdge's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the features described above. It is not sold, and it is not shared with third parties except service providers that process it on our behalf under equivalent restrictions.

12. Web Chat Widget

12.1 Where the widget runs, and who is responsible

We operate the web chat widget on this website. We also license it to home improvement businesses, where it runs on their websites under their branding. When you chat on a licensed business's site, that business decides why the conversation happens and how the information is used, and we process the conversation on their behalf as their service provider under our agreement with them. Requests about a conversation held on a business's website are best directed to that business. You can also write to privacy@windowedge.ai and we will pass the request on.

12.2 You are talking to an AI agent

Chats are answered by an automated AI agent, not a person, unless a staff member joins the conversation. The widget identifies itself as an AI assistant. Your messages, together with the instructions the business has configured, are sent to our AI model providers to generate each reply and to classify the conversation for abuse, safety, and off-topic content.

Our AI providers process this content to serve our request under terms that prohibit using it to train their general models. We do not sell chat content. Staff at the business can read the full transcript, join the conversation, and receive notifications about it.

12.3 What the widget stores in your browser

  • A random visitor identifier, so a conversation can be resumed if you come back
  • A session flag, so the widget does not reopen itself repeatedly during one visit
  • Where the site also runs WindowEdge marketing tracking, a first touch attribution record kept for 90 days

The widget also reads our _we_vid visitor cookie when that site has already set one, so a chat can be connected to the visit that led to it. Clearing your browser storage for the site removes these values and disconnects you from the earlier conversation. The widget does not need to load at all if you use a content blocker, and the rest of the site works without it.

12.4 Bot protection

We use Cloudflare Turnstile to distinguish people from automated abuse. Turnstile receives your IP address and browser signals in order to run that check.

12.5 Follow up messages

If you provide a phone number or email address in a chat, we and the business may use it to follow up about your request, including to confirm, reschedule, or cancel an appointment. You can stop text messages at any time by replying STOP, and you can ask the business to remove your contact details.

12.6 Please do not send sensitive information

Do not enter payment card numbers, government identification numbers, health information, or passwords into the chat. The agent will never ask for them. If you send something you did not mean to, ask us or the business to delete the message.

12.7 Retention and your choices

Chat transcripts and the details listed in Section 2.4 are retained on the terms set out in Section 6, and the rights in Section 7 apply to them. To request access to or deletion of a conversation, contact the business whose website you chatted on, or write to privacy@windowedge.ai.

13. WindowEdge Mobile App

This section applies to the WindowEdge app for iPhone and iPad and to the WindowEdge Canvassing app for Android, in addition to the sections above. Where a point names one platform, it applies only to that platform.

13.1 Who the app is for, and who is responsible

The WindowEdge app is a work tool for employees of businesses that license WindowEdge. Your employer creates your account and decides which parts of the app you can use: Canvassing (door to door), Sales (quoting, design, measuring and signing) or Measurement. The iPhone and iPad app offers all three. The Android app offers Canvassing only. There is no public sign up in the app. For information about homeowners and about your work activity, your employer decides why it is collected and how it is used, and we process it on their behalf as their service provider. You can direct requests to your employer or to privacy@windowedge.ai.

13.2 Location

The app asks for location permission only while you use it. How it uses location depends on the workspace:

  • Canvassing on iPhone and iPad. Only while a canvassing session that you started is active, the app sends your precise location to WindowEdge about once a minute by default (your employer can choose a longer interval, and it is never more often than every 30 seconds). Each point includes latitude and longitude, accuracy, altitude, speed, heading and time. This continues while the app is in the background, and iOS shows the location indicator while it does. Your employer can see this route so it knows which streets were covered, and each door result is attached to the house where it was recorded.
  • Canvassing on Android. The Android app asks for precise location while you use the app. It never asks for background ("all the time") location permission. Location is collected only while a canvassing session that you started is active and within its GPS window, including while you use another app or lock your screen. During that time the app runs a foreground service. When notifications are allowed, Android shows an ongoing "Canvassing active" notification with a Stop Canvassing button. If notifications are turned off, collection can still continue, and Android 13 and later lists the app as active in the notification area's active apps list instead. The app reads your location about every five seconds to support the map, address suggestions and movement reminders. It sends the first route point to WindowEdge when collection starts, and then about once a minute by default (your employer can choose a longer interval, and the scheduled interval is never shorter than 30 seconds). Address searches and door results can also include your location. Each route point includes latitude, longitude, accuracy and time, altitude, speed and heading when available, and whether Android reports the location as simulated. Location readings come from Google Play services on your device. Your employer sees the route and door results as described above.
  • Location collection for a session stops when you stop the session, when the session's GPS end time is reached (the planned window you chose when starting, including any extension you choose, or a 16 hour limit if your employer does not use planned windows), when you sign out, or if you turn off location permission. On Android, you can stop with Stop Canvassing in the notification, or by confirming Stop Canvassing in the app.
  • Canvassing activity records show your canvassing results. They are not a timecard or payroll record.
  • The Android app shows maps using Google Maps, and the map can be centered on your canvassing location. Google receives the map requests and, to run and improve its service, collects information such as IP address, device and software details, a Maps identifier, crash information and how you use the map. The app keeps Google Maps' own location display turned off.
  • Sales and Measurement. The iPhone and iPad app records where a job photo, video or drawing was taken, and uses your current location to show nearby projects. It does not track your route in these workspaces.

We do not use location for advertising, and we do not sell it.

13.3 Homeowner information recorded in the app

Staff using the app may record information about homeowners, which is stored in the employer's WindowEdge account:

  • Name (and a spouse or partner's first name if given), phone number, email address and property address
  • The result of a door visit, product interests, project notes and details, how long the homeowner has owned the home, and a requested appointment time
  • Evidence of the homeowner's permission to receive text messages, depending on the method the employer uses: initials or a signature the homeowner draws on the screen, a short audio recording of the homeowner saying yes, or the staff member's confirmation that the homeowner said yes after the permission script was read
  • In the iPhone and iPad app: photos, videos, measurements and drawings of the home taken during a visit, and signatures on agreements

The Android Canvassing app records door results and homeowner details in the same way, and offers the same text message permission methods: drawn initials or signature, a voice recording, or the staff member's confirmation.

Homeowners can ask the business that visited them, or privacy@windowedge.ai, to access or delete this information. Homeowners can stop text messages at any time by replying STOP.

13.4 Microphone, voice and AI processing

  • The iPhone and iPad app listens only while a voice feature is on. Voice features include dictating measurements and notes, and, with the homeowner's spoken agreement, listening to an in-home conversation to fill in interview answers.
  • While an iPhone or iPad voice feature is on, the audio is streamed to our AI provider, OpenAI, to turn speech into text and answers. The app does not save these voice recordings, and only the resulting text and answers are kept. Our AI providers process this content to serve our request under terms that do not permit using it to train their general models.
  • Some iPhone and iPad dictation uses Apple speech recognition, which runs on your device when the device supports it.
  • The only audio the app stores is a homeowner's recorded permission to receive text messages, where the employer uses that method.
  • Android. Where your employer uses voice permission, the Android Canvassing app uses the microphone only to record the text message permission script and the homeowner's spoken answer. The canvasser starts and stops each recording, and the app stops it automatically after about 60 seconds. If the app leaves the screen or another app takes the microphone, the unfinished recording is discarded. The Android app never records in the background and has no dictation or AI voice features. A recording kept with a door result is uploaded to WindowEdge and kept with your employer's consent records.

13.5 Device and account information

  • Your account identifier and the email address you sign in with. If you sign in with Google, Google confirms your identity to us. Only a work account your employer has already set up can sign in.
  • When you start a canvassing session: a random identifier created for this installation of the app, your device model, iOS or Android version, time zone and app version, so your employer can tell sessions and devices apart and we can support the app.
  • When you start a canvassing session, we also record the version of the location notice you accepted, when you accepted it, and your location permission and accuracy settings. Canvassing activity records include session start and stop times, the planned GPS window and any extension, the activity end time you report, and the activity duration and door results.
  • Face ID or Touch ID, if you turn it on, is handled entirely by iOS. On Android, fingerprint or face unlock, if you turn it on, is handled entirely by Android. Your biometric data never leaves your device and we never receive it.
  • In the iPhone and iPad app, weather forecasts for appointments are requested from the US National Weather Service (api.weather.gov) using the appointment's location.

13.6 What the app does not do

  • It does not show ads, use advertising identifiers, or track you across other companies' apps or websites.
  • It does not include third party analytics or advertising software. The Android app includes Google Maps, which collects the information described in Section 13.2.
  • It does not upload crash or usage analytics to WindowEdge. If you choose to share analytics with app developers in iOS Settings, Apple may provide crash reports to us. On Android, if you choose to share usage and diagnostics with Google, Google Play may provide crash and performance reports to us.

13.7 Information stored on an Android device

  • Door results, homeowner permission evidence and other work waiting to sync are kept in the app's private storage, encrypted with a key held in the Android Keystore, until they sync to WindowEdge. Saved work can sync after canvassing stops or while the app is not on screen, and signing out does not erase work that is still waiting to sync.
  • While a permission recording is being made, the audio is first written to a temporary file in the app's private storage without this extra encryption. The app deletes that file once the recording is saved to the encrypted queue or discarded, and removes any left over the next time the app starts.
  • The app's data is excluded from Android cloud backup and from device to device transfer, so it is not copied into your Google backup or onto a new phone.

13.8 Retention and deleting your account

Information collected through the app is kept as described in Section 6, for as long as your employer keeps its WindowEdge account and needs the records, unless the law requires otherwise. Your account belongs to your employer, which can deactivate and delete it at any time. You can also ask us to delete your account and personal information by writing to privacy@windowedge.ai. We will confirm the request with your employer where the records belong to them.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of our services after changes constitutes acceptance of the revised policy.
