Capture & Book · Calling and Voice

Every number answers the way you decide.

A tracking number for every campaign, routing you set per number, a human backstop on every route, and a transcript, summary, outcome, and recording for every call. Voice that fails over between providers so an outage never drops a homeowner.

How this number answers

AI answers everything

Every call, day and night, goes straight to the receptionist agent.

Office hours, then AI

Rings the front desk 8 to 5 weekdays. Outside those hours, or after 25 seconds, the agent picks up.

Office first, always

Rings the front desk every time. The agent only picks up when nobody does.

If the AI cannot answer: forward to Dana's cell (human, never an AI retry)

Three ways a number can answer

Pick one per number. The ad line can go straight to the agent while the number on your truck rings the office first.

01

AI answers everything

Every call, day or night, goes to the receptionist agent first. Best for numbers on ads that run around the clock.

02

Office during hours, then AI

Rings your front desk during business hours. Outside them, or when nobody picks up, the agent takes it.

03

Office first, always

Your team gets the first shot on every call. The agent is the safety net, never the front door.

Whichever you choose, the last slot on the route is a person. The agent never retries itself.

Built for a phone system that cannot afford a missed ring

One number per campaign

Google Ads, Bing, direct mail, your website, your listings: each gets its own tracking number, so every call keeps its source from the first ring to the closed job.

Loops are impossible by design

A number can never forward to itself or into a chain that comes back around. The routing model does not allow it, so nobody has to remember not to.

The backstop is always human

The fallback slot on every route is a person: a cell, a manager, a second office. Never an AI retry. If the agent cannot handle the call, a human gets it.

Failover across voice providers

Voice runs on VAPI, xAI, and ElevenLabs with automatic failover between them. A provider outage never drops a call.

Every call on record

A transcript, a summary, an outcome, and the recording itself, on every call. Find out what was said without asking who took it.

Metered per second

Voice is billed by the second, not rounded up to the minute. A 40-second call costs 40 seconds.

Every call keeps its source. Every location keeps its numbers.

Because each campaign rings a different number, the call arrives already labeled. Multi-location dealers see attribution per location and rollups across all of them.

  • Google Ads, Bing, direct mail, website, and listings each on their own number
  • Tracking numbers imported from CallRail attribute to the right source
  • Attribution and rollups per location for multi-location dealers
  • Outcome on every call, so cost per booked appointment is real, not estimated

Add Tacoma and the same roster appears there, with its own rollup. Fictional numbers.

You never have to ask who took the call

Whether the agent or the office answered, the record is the same: what was said, what it came to, and the audio if you want to hear it yourself.

Transcript and summary

The full conversation in text, with a short summary on top for the busy reader.

Outcome

Booked, quoted, callback requested, wrong number. Every call gets one, and it rolls into your reporting.

The recording itself

Play it back from the contact. Coach a rep, settle a dispute, or hear exactly how the homeowner described the job.

Questions dealers ask

How does each tracking number decide who answers?

You set routing per number. Choose AI answers everything, office during business hours then AI, or office first always. Each number can have a different rule.

Can I accidentally create a forwarding loop?

No. Forwarding loops are impossible by design. A number cannot forward into a chain that comes back to itself.

What happens if the AI cannot handle a call?

The fallback slot on every route is a human backstop, never an AI retry. The call goes to a person you choose.

What if a voice provider goes down?

Voice fails over automatically across VAPI, xAI, and ElevenLabs. An outage at one provider does not drop the call.

What do I get from each call?

A transcript, a summary, an outcome, and the recording itself, attached to the contact in your console.

How is voice billed?

Per second. Calls are metered by the second, not rounded up to the next minute.

We have more than one location. Does attribution hold up?

Yes. Multi-location dealers get attribution and rollups per location, and tracking numbers imported from CallRail attribute to the right source.
